
The real comparison in 2026 is no longer whether Notion AI writes a cleaner summary than a local plugin, or whether Evernote’s search feels friendlier than a folder of Markdown files. The more expensive question is what happens when the company holding your notes changes the plan underneath them.
That is what changed after 2025. Evernote retired familiar paid plans and tightened the free tier. Notion moved AI from a broad add-on era into bundled and metered access. Apple put AI directly into Notes, but only for eligible hardware, languages, regions, and accounts. None of those moves means cloud AI note-taking tools are bad. Some of them are still better out of the box than anything a local vault can do in an afternoon. But the decision has shifted from “which app has the cleverest AI?” to “which part of my system can a vendor decision directly touch?”
The 2025–26 change ledger that matters
Pricing pages are not literature, but they do have plot. The important events are the ones that change a user’s archive, daily workflow, or AI access without the user changing how they take notes.

Notice what is not in that table: a claim that everyone left Evernote, or that Notion users are fleeing in some measurable wave. The available material does not support an exodus-size statement. Renewal shock anecdotes on forums may be useful smoke, especially when several people describe the same kind of jump, but uncrawled or unverified screenshots are not a basis for exact pricing claims. The official plan pages are enough to make the narrower point: the ground did move.
The source of truth is the part you cannot afford to confuse
A note system has at least two layers. One is the ownership layer: the primary copy of your notes, attachments, links, dates, and structure. The other is the convenience layer: search, sync, collaboration, AI summaries, meeting notes, cleanup, tagging, and chat.

Cloud AI note-taking tools often make those layers feel like one thing. That is their charm. A meeting becomes a transcript, a transcript becomes a summary, a summary becomes tasks, and the tasks live beside the project wiki. For a team, that smoothness matters. Nobody wants to spend Monday morning explaining why the local embedding model is indexing the wrong folder.
The trouble starts when the ownership layer and the convenience layer are governed by the same vendor switch. If the vendor changes the free tier, your archive may still exist, but the practical way you access or grow it changes. If the vendor changes AI pricing, your workflow may still be possible, but the step you relied on becomes limited, bundled, or metered. If the app does not work offline, your notes are present only to the extent the service and connection allow.
Ink & Switch’s local-first essay put the software side of this problem bluntly years before this pricing cycle: with cloud software, “you will be upgraded whether you like it or not.” [8] The 2025–26 note-app changes made that sentence less theoretical. A plan retirement is an upgrade path chosen elsewhere. A credit meter is a workflow constraint chosen elsewhere. Hardware-gated AI is a feature boundary chosen elsewhere.
Local-first notes separate the layers more cleanly. The primary copy sits on your disk or device, often in readable files. Sync, publishing, AI, and collaboration can be added, replaced, or removed around that copy. That does not make local-first apps magically easier. It makes their failure mode different. If an AI plugin gets worse, you replace the plugin. If a sync provider changes terms, you move the folder. The archive itself is not supposed to become a hostage to the same decision.
What cloud AI note tools still do better
It is easy to overcorrect here. A local vault is not a personality upgrade. Cloud AI tools remain attractive because they collapse setup. Notion can give a workspace AI, databases, permissions, comments, docs, and automations in one interface. Mem, Reflect, and Evernote’s AI features appeal for the same basic reason: the assistant is already sitting where many users type, clip, and search.
Tested roundups still reflect that convenience. PCMag’s 2026 AI note-taking list did not dismiss Notion; it named Notion the best overall for AI features, even while keeping the rating modest and flagging offline limitations. [7] Zapier’s tested AI-note coverage likewise treats tools such as Mem, Evernote, Reflect, and Notion as legitimate choices rather than dead ends, with Notion full AI access described at $20/month when billed annually and Reflect listed at $10/month. That is the fair case for staying cloud-first: if your notes are collaborative, short-lived, and tightly bound to team workflows, the convenience layer may be the product. A sales team’s call notes, a product team’s meeting summaries, or a shared company wiki can reasonably value permissioning and instant AI more than future portability. The daily cost of friction may be higher than the theoretical risk of a plan change.
The problem is pretending that this is still just a feature comparison. A cloud AI tool can win on features and still be the wrong place for the only copy of a 10-year archive. Those are different decisions.
Local-first AI is real now, with conditions
The strongest argument against local notes used to be simple: nice archive, no modern assistant. In 2026, that is no longer accurate. It is more accurate to say local AI exists, works for many people, and still requires more tolerance for setup and constraints than a cloud AI workspace.
Obsidian is the clearest example because its plugin ecosystem lets users add AI around a local Markdown vault. A 2026 survey of Obsidian AI plugins lists options such as Smart Connections, Copilot, Smart Composer, Text Generator, and Local GPT via Ollama; it also reports Smart Connections at more than 1 million downloads and describes local embeddings as part of the setup. The same source gives a practical hardware warning: small local models in the 3B–8B range need roughly 16 GB of unified memory for a usable experience. [10]

That is a meaningful shift. A local vault can now support semantic search, note chat, draft cleanup, summarization, and retrieval-augmented workflows without making the cloud app the source of truth. The AI may call a local model, a user-chosen API, or a hybrid setup. Either way, the notes remain files first.
But the conditions matter. Local AI is not the same as frictionless AI. Someone has to choose the plugin, understand what leaves the device, index the vault, maintain the setup, and accept that a local model may be weaker than a hosted model on summarization, reasoning, or long-context tasks. If the workflow depends on perfect meeting transcription, enterprise permissions, or instant AI for every teammate, a local vault plus plugins may be a project rather than a solution.
Apple Notes occupies an awkward middle position. It is more local and system-integrated than Notion or Evernote for many personal users, and Apple Intelligence brings writing tools and summaries into Notes. Apple’s support material describes using Apple Intelligence in Notes, while Apple’s 2026 announcement expands audio transcription and summarization inside the app. [5][6] Still, this is not the same position as a folder of plain-text notes. Apple Intelligence availability depends on supported devices, regions, and languages, and Apple’s ecosystem can meter some AI-related capacity through iCloud+ conditions. If your iPhone, Mac, account, or region is outside the supported path, the feature exists in the abstract before it exists for you.
Independent app testing reaches a similar ownership distinction from another angle. Atlas’ 2026 cross-platform note-app testing groups Obsidian, Joplin, Logseq, and Standard Notes among the lowest data-risk apps because the primary copy can live as plain text on the user’s disk. [11] That does not make them the most polished AI products. It makes them harder for a vendor pricing page to directly rewrite.
Run the workflow test before you switch anything
A note migration is a tax on your future attention, so the test should be specific. Do not start with “cloud or local?” Start with the failure that would actually hurt.

The export test is the one most people postpone, which is why it belongs early. A reassuring export button is not the same as a recoverable system. For a local-first trial, do not migrate the whole archive first. Move one active project, one reference-heavy folder, and one ugly historical sample. Then try the work you actually do: retrieve an old fact, summarize a cluster of notes, draft from sources, search offline, and recover an attachment. A clean demo vault proves very little. A messy sample tells the truth.
If you want AI around a local vault rather than inside a vendor database, start with a narrow use case. Use AI to organize or summarize a bounded folder before asking it to become a second brain. Choose a cloud AI note tool when the notes are collaborative, fast-moving, and improved enough by built-in AI that the subscription and metering risk are part of the cost of doing the work. That can be a rational choice. A team that needs shared permissions, polished search, meeting summaries, database views, and no local setup may get more value from Notion, Evernote, Mem, or Reflect than from a carefully defended local archive.
Choose local-first notes when the archive is meant to outlast the current pricing page. That includes research notes, personal records, writing archives, technical logs, reading notes, long-running project history, and anything you would resent re-sorting because a plan name disappeared. In that case, AI belongs above the archive as a service you can replace, not beneath it as the condition for access.
The point is not to reject cloud AI. It is to stop confusing a good assistant with a safe home for the only copy. If your notes are short-lived and AI-heavy, a cloud AI tool can be the right instrument. If your notes are an archive, local-first is the only position a vendor change cannot directly touch.
From there, the next work is practical rather than philosophical: test export, test offline behavior, and move only the part of the archive that proves the case.
