OneNote is free, capable, and widely available, but the useful question is narrower: does Microsoft’s notebook-and-canvas model match the way your notes are actually made? If your work involves handwriting, diagrams, marked-up screenshots, meeting notes inside Microsoft 365, or field notes that must survive bad connectivity, OneNote deserves serious attention. If your system depends on relational databases, graph-based personal knowledge management, clean Markdown portability, or extremely fast lightweight capture, it is probably the wrong place to build your long-term archive.

The distinction matters because OneNote is often compared with tools that are architecturally different. Notion is strongest when notes become structured records, tables, and databases. OneNote is free to download and use with a Microsoft account, without a time limit or note cap on the core note-taking feature set. Microsoft’s published pricing has listed Copilot Pro at $20 per month for consumers and Copilot for Microsoft 365 at $30 per user per month for business users, but Microsoft also announced price changes effective July 1, 2026, so Copilot pricing should be checked against Microsoft’s current pages before publication or purchase decisions are made.[1]
There is also a version warning worth handling early.
